01What is the method in one line?
Keep the rent for every period that has already started, return every cheque dated after it, and settle the deposit on its own: deposit − billed repairs = refund to the tenant.
The notice a tenant has to give, and any penalty for leaving early, come from your contract and the law that governs it. They are not covered here; add them as their own lines if your contract has them.
02The example flat
A flat in Muscat let for one year, 1 January to 31 December 2026, at 300 OMR a month. On signing the tenant handed over twelve post-dated cheques, one dated the first of each month, and a security deposit of 300 OMR. The tenant hands back the keys on 15 August. Tax is left out of the example because it depends on the agreement and on registration.
| Line | Calculation | OMR |
|---|---|---|
| Rent for the year | 12 cheques × 300 | 3,600 |
| Periods already started | January to August, 8 cheques × 300 | 2,400 |
| Cheques dated after the handover | September to December, 4 cheques × 300 | 1,200 |
Check: 2,400 + 1,200 = 3,600. Every cheque of the lease is either kept or returned; none is left over.
03Step 1: the period already started
The rent period here is the month. August started on 1 August and its cheque has been collected, so August is settled in full even though the tenant left on the 15th. Eight cheques, 2,400 OMR, stay as rent.
If your contract divides the last period by days, that is a different line with its own calculation. Decide which one your contract says before the tenant asks.
04Step 2: the cheques that go back
| Cheque date | Amount (OMR) | What happens |
|---|---|---|
| 1 Sep 2026 | 300 | Returned to the tenant |
| 1 Oct 2026 | 300 | Returned to the tenant |
| 1 Nov 2026 | 300 | Returned to the tenant |
| 1 Dec 2026 | 300 | Returned to the tenant |
| 1,200 |
Each of the four is recorded as returned, with the date, so nobody can deposit it by mistake in October. A cheque that was simply taken out of the drawer and handed over leaves no trace that it ever existed.
05Step 3: the deposit
| Line | Calculation | OMR |
|---|---|---|
| Security deposit held | 300 | |
| Repainting one room | Vendor's bill | − 60 |
| Refund to the tenant | 240 |
The tenant receives 240. The 60 is the actual cost on the vendor's bill, with the bill kept behind it. The deposit was never the owner's income, so the refund does not reduce his statement, and the repair it paid for is not charged to him a second time.
06What if the rent is paid quarterly?
Same flat, same year, but four cheques of 900 OMR dated 1 January, 1 April, 1 July and 1 October. On 15 August the quarter that started on 1 July is already running, so three cheques are kept (2,700) and only the October cheque is returned (900). Check: 2,700 + 900 = 3,600.
The tenant who paid monthly gets back 1,200; the one who paid quarterly gets back 900. Nothing changed but the length of the period, which is why the period has to be written in the lease and not assumed.
07What does the owner see?
On the owner's statement, August's 300 is rent collected like any other month. From September the flat appears as vacant, not as arrears: the four returned cheques are no longer rent due, so they must not sit in the total as money a tenant owes.
08Where do early terminations usually go wrong?
- The later cheques stay in the drawer and one of them is deposited months after the tenant left
- The cheques are handed back but still listed as due, so the owner's statement shows arrears that do not exist
- The last period is split by days in one lease and kept whole in another, with nothing in either contract to say which
- The deposit is counted as the owner's income when it is received, and the refund then looks like a loss
- A repair is taken from the deposit on an estimate, with no bill behind it
- The same repair is taken from the tenant's deposit and charged to the owner as well
09How does Revora do this?
Revora property management, by mbsystems, follows the same lines:
- Leases with their terms, deposit, cheques and renewal — and a termination that settles the period already started and returns the later cheques
- Cheques are records with a state — deposited, collected, bounced, replaced — so a cheque has a history, not a deleted row
- A collection writes its accounting entry with it; the money and the record are one step
- Maintenance requests go to vendors with approval, assignment, actual cost and the bill
- Money collected for an owner is held as owner-payable, not as company income
- Owner statements, the return per property, and vacancy
