01How is buying from farmers and suppliers handled?
- Each purchase line says what you are paying for: the good portion only, or the whole delivered weight — with the expected waste shown, and your real cost per kilo before you save
- Packaging weight is deducted per line, as a percentage or in kilos, before price and yield
- A discount on a line is money with a reason from a fixed list, which then feeds supplier evaluation
- Purchase requests, and how many kilos each sales contract still needs bought
- Receiving inspection, and return to the supplier
- Supplier payments and instalments, allocated to the oldest due first, with a statement per supplier and an ageing report
- Weighbridge tickets from scales connected to the system
- Purchases from the company's own farms, and goods a customer sends in for processing on his behalf
02How does lot traceability work?
- Every lot has an internal number and the customer's own lot number, its form and grade, an organic flag with its certificate, its free quantity and its total cost
- A lot can be reserved for a contract, released, or split into child lots, and the cost moves with it
- A lot investigation walks back through every movement to the source the goods came from
- A mass balance compares what was harvested, dispatched and received, and flags the gap
When a buyer or an inspector asks about one lot number, the answer is one screen: what it was made from, who supplied it, which run processed it, and which shipment it left on.
03What happens in processing, and what did the ton cost?
- Yield standards per product and process, so choosing a lot fills in the expected output
- Processing runs that compare expected against actual: yield, output variance, waste variance, and cost per unit with its variance
- Packing orders and product packs
- A cost ledger per lot with its breakdown and unit cost; on shipping, freight and handling costs are posted to the lots that were shipped
04Lab results, samples and certificates
- Lab results, pass or fail, recorded on a lot or on a sample, with a list of labs and tests and a lab analyses report
- Customer samples built from lots, with approval or rejection and reminders
- A register of certificates, and a library of standards with their requirements: EU Organic, USDA NOP, Canada COR, JAS, Demeter, Naturland and Bio Suisse; and for food safety and trade, FSSC 22000, BRCGS, IFS, GLOBALG.A.P., Halal, Kosher, Fairtrade, FairWild and Rainforest Alliance
- Automatic readiness checks before an audit: certificate validity, conversion period, permitted inputs, yield plausibility, mass balance, lot traceability, supplier certificate, and whether pesticide lab tests are current
- An organic balance per certificate: quota, consumed, upcoming and remaining
- An evidence pack that downloads as one file for the auditor
The certificate itself is issued by your certification body. Mizan keeps the evidence ready and tells you before the audit what is missing.
05Export sales: quotation, contract, currency
- Quotations with a cost estimate and a minimum-margin approval, sent by email or WhatsApp as a link where the customer views, downloads the PDF and replies
- A quotation converts to a contract; the contract prints in English or Arabic
- Incoterms on the quotation and the contract — EXW, FCA, FOB, CFR, CIF, DAP and the rest — with port of loading, port of discharge, and the letter of credit number and bank
- The contract's currency and exchange rate, with the rate history, and the exchange gain or loss shown in the contract's profitability
- Payment terms that generate a payment schedule, and customer collections recorded against it
- Lots allocated to contract lines, carrying the customer's lot number
06Shipping and the documents
- Shipments with the shipping company, the container number, and freight, handling and inland transport costs
- Proforma invoice, commercial invoice and packing list generated as PDFs
- Each contract lists the documents it requires — certificate of origin, phytosanitary certificate, bill of lading, lab analysis, or any certificate type — and a shipment cannot be marked shipped while a mandatory one is missing
07Does it cover importing as well?
The buying, stock, processing, sales and accounting sides work the same for a company that imports and trades. What is not built is the import paperwork itself: customs clearance and landed-cost allocation are not in the system today. If importing is most of your business, tell us and we will show you exactly where it stops.
08The money, the language, and who uses it
- Treasuries, a payments centre, expenses, a chart of accounts with automatic posting, and a trial balance
- Reports including contract profitability, customer statement, ageing of receivables and payables, inventory valuation, and sales by product and by destination
- An assistant that answers a typed question from your own data and drafts an action, which runs only after you confirm it
- Arabic and English on every screen, with each user choosing their own language
Mizan runs live for herb and spice processing and export companies, each with its own separate data.
